Data Processing Addendum

This addendum applies whenever 4Ys processes personal data inside systems it runs for a client, such as the client's customer conversations, leads and CRM records. It forms part of the Terms & Conditions.

  • Roles. The client is the controller: it decides why and how its customers' personal data is processed. 4Ys is the processor and acts only on the client's documented instructions, which are the service agreement and the client's own configuration of its systems.
  • Confidentiality. Client data is confidential, as clause 13 of the Terms & Conditions sets out.
  • Access by 4Ys. Authorised 4Ys staff can sign in to a client's systems to set them up, support them and keep them secure. They act only for those purposes.
  • Security. We protect client data with the measures set out at /security.
  • Subprocessors. We use only the subprocessors listed at /privacy#subprocessors that apply to the client's configuration (clause 22). Material changes to the list appear there.
  • Requests from individuals. When one of the client's customers exercises a right under the Personal Data Protection Law, we help the client respond, as far as the systems we run allow.
  • Breaches. If we become aware of a breach affecting a client's personal data, we inform the client's registered point of contact, so the client can meet its own duty to notify the Ministry and the people affected (Article 19).
  • End of service. When the agreement ends, the client's data is exported and returned as clause 18 of the Terms & Conditions describes.
